Terms of Service

1. Introduction

These Terms of Service ("Terms") govern your access to and use of the Eventology website (eventology.me) and the engagement of Eventology's event technology and management services ("Services"). By accessing this website or engaging our Services, you agree to be bound by these Terms. If you do not agree, please do not use this website or our Services.

Eventology ("we," "us," "our," "Eventology") is an event technology company based in Amman, Jordan, providing integrated registration, access control, badge management, event applications, and related on-site operational services.

2. Order of Precedence

These Terms set out Eventology's general, default terms and conditions of business. They apply to every engagement except where a signed Proposal, quotation, or written agreement between Eventology and the client ("Proposal") expressly states different terms for that engagement.

Where a Proposal specifies terms that differ from these Terms — including, without limitation, payment schedules, cancellation terms, delivery timelines, or scope-related conditions — the terms of that specific Proposal shall govern for that engagement, and these Terms shall apply only to the extent not addressed or varied by the Proposal.

3. Our Services

Eventology provides end-to-end event registration and management solutions, which may include (depending on the engagement): pre-event planning and system configuration, online registration platforms, on-site registration and check-in operations, badge production and management, access control systems, event hardware supply and setup, staffing and on-ground support, live monitoring and reporting, post-event reporting and data delivery, and optional modules such as mobile applications, B2B meeting systems, lead capture tools, and related add-ons.

The specific scope and deliverables for any engagement are defined in the applicable Proposal.

4. Proposals and Quotations

4.1. Unless otherwise stated in the Proposal, a Proposal issued by Eventology is valid for 30 days from the date of submission. Acceptance beyond this period may require a review and adjustment of scope, availability, and pricing.

4.2. Services and deliverables are limited to the scope defined in the applicable Proposal. Any additional requirements or changes are subject to a formal variation and may affect cost and delivery timelines.

5. Payment Terms

5.1. Payment terms are set out in the applicable Proposal and may vary by client and engagement — for example, a split advance/balance structure, full payment prior to the event, or payment following the event's conclusion — at Eventology's discretion based on the nature of the engagement and its relationship with the client.

5.2. Where a Proposal does not specify payment terms, the default is an advance/down payment prior to project initiation, with the remaining balance due within an agreed period after the event's conclusion and delivery of reports.

5.3. Printed materials (badges, lanyards, and similar items) are, by default, paid in full upon sample approval, given their non-recoverable production cost, unless the Proposal states otherwise.

5.4. Timely payment is required to ensure uninterrupted delivery of Services. Eventology reserves the right to suspend or delay Services in the event of overdue payment.

5.5. Additional or optional items requested outside the agreed scope will be quoted and billed separately according to their specific terms.

6. Changes and Amendments

Any changes to the agreed scope — including additions or reductions in services, hardware, or staffing — must be documented and will be charged accordingly, unless otherwise agreed in the Proposal. Delivery timelines are dependent on timely approvals, data, and coordination from the client; delays on the client's part may affect the overall project schedule.

7. Client Responsibilities

The client is responsible for providing accurate data, timely approvals, venue access, and coordination with relevant stakeholders to facilitate smooth execution of the Services. Eventology shall not be held responsible for delays, errors, or failures arising from the client's failure to meet these responsibilities.

8. Staff Safety and Welfare

Where Eventology provides on-site staffing, the client is responsible for ensuring a safe and suitable working environment for all on-site staff, including appropriate workspace conditions, crowd control measures, and compliance with venue safety regulations. Basic staff welfare requirements — including reasonable working hours, access to drinking water, and meal provisions where applicable — must be maintained. Any unsafe conditions must be addressed promptly in coordination with Eventology's operations team.

9. Confidentiality and Non-Disclosure

9.1. Proposals, pricing structures, methodologies, and operational approaches prepared by Eventology for a specific client are confidential and tailored to that client. They must not be shared or disclosed to competitors or third parties without prior written consent.

9.2. All Eventology staff — including registration personnel, technical teams, and on-site operations members — are bound by strict confidentiality obligations and are trained to handle sensitive information, including attendee data and VIP/high-profile attendee details, with professionalism and discretion at all times.

10. Data Protection and Usage

10.1. All attendee and event data collected in the course of providing Services is used solely for event-related purposes and is handled in accordance with our Privacy Policy and agreed confidentiality standards.

10.2. Upon completion of an event and delivery of final reports, event-related data is securely archived and subsequently purged. Residual data, temporary files, or system traces generated during operations are permanently deleted from all devices and systems, beyond what is required for agreed reporting purposes and any applicable legal retention obligations.

10.4. Where Services involve supporting attendance tracking for Continuing Medical Education (CME) or Continuing Professional Development (CPD) credit, our role and related data handling are described in our CME/CPD Data & Attendance Policy.

11. Intellectual Property

All systems, platforms, software, methodologies, and operational frameworks used or developed by Eventology in the course of delivering Services remain the intellectual property of Eventology, unless otherwise agreed in writing. Nothing in these Terms transfers ownership of Eventology's underlying technology or IP to the client.

12. Cancellation Policy

Unless the applicable Proposal states otherwise, cancellation of a confirmed engagement may be subject to cancellation fees based on the stage of project execution and resources already committed (including staffing, hardware, and production of printed materials).

13. Project Postponement and Delays

Eventology commits staffing, resources, and planning capacity to the project date specified in the applicable Proposal. A client-initiated postponement of that date — as distinct from a cancellation under Section 12 — can result in direct financial impact to Eventology, including committed costs, tied-up resources, and accounting or tax implications where payment has been received for work not yet executed.

13.1. Where a project date is postponed by the client after payment has already been made and the project has commenced (whether in planning, system configuration, or otherwise), Eventology reserves the right to charge a monthly delay fee for each full or partial month the project remains postponed beyond its originally agreed date. The applicable fee will be stated in the Proposal or communicated to the client in writing at the time the postponement is requested.

13.2. Where a project date is postponed by the client and no payment has yet been made, Eventology reserves the right to revise the project cost to reflect then-current pricing, resource availability, staffing, and any other factors affected by the delay, rather than honoring the original Proposal pricing.

13.3. A postponement that is repeated or extends beyond a reasonable period may, at Eventology's discretion, be treated as a cancellation subject to Section 12.

14. Force Majeure

Neither party shall be held liable for delays or failure in performance due to circumstances beyond reasonable control, including but not limited to natural disasters, government restrictions, or other unforeseen disruptions.

15. Limitation of Liability

While Eventology takes all reasonable measures to ensure successful delivery of its Services, our liability is limited to the value of the contracted Services and does not extend to indirect, incidental, or consequential losses. Eventology will make reasonable efforts to assist in resolving any issues that arise.

16. Website Use

16.1. The content on this website is provided for general informational purposes about Eventology and its Services. While we strive for accuracy, we do not guarantee that all content is complete, current, or error-free.

16.2. You may not use this website in any way that could damage, disable, or impair it, or interfere with any other party's use of it.

16.3. All content on this website — including text, graphics, logos, and images — is the property of Eventology or its licensors and may not be reproduced without prior written permission.

17. Changes to These Terms

We may update these Terms from time to time. Changes will be posted on this page with an updated "Last Updated" date. Continued use of the website or our Services after changes are posted constitutes acceptance of the revised Terms.

18. Governing Law

These Terms are governed by the laws of the Hashemite Kingdom of Jordan. Any disputes arising from these Terms or our Services shall be subject to the exclusive jurisdiction of the competent courts of Jordan.
